As an Executive Virtual Assistant & Office Manager, you will provide top-level administrative support to our executive team. Your responsibilities will include managing calendars, scheduling appointments, coordinating meetings, and preparing detailed reports and presentations. You will use your exceptional organizational skills to handle multiple tasks efficiently, ensuring that all operations are running smoothly and deadlines are met. Key Responsibilities: 1. **Office Management:** Oversee day-to-day office operations, ensuring a productive and professional environment. This includes maintaining office supplies, managing correspondence, and coordinating with various departments to facilitate seamless communication and workflow. 2. **Administrative Support:** Provide comprehensive administrative support to executives, including managing emails, preparing documents, drafting correspondence, and handling confidential information with the utmost discretion. 3. **Calendar Management:** Coordinate and manage the scheduling of meetings, appointments, and travel arrangements, ensuring the executive team’s calendar is well-organized and up-to-date. 4. **Virtual Assistance:** Offer virtual support and assistance via phone, email, and other digital communication channels. This includes monitoring and managing executives’ digital communications and ensuring prompt responses. 5. **Microsoft Office Expertise:** Utilize advanced features of Microsoft Office, including Word, Excel, PowerPoint, and Outlook, to create and manage documents, spreadsheets, presentations, and email communications. 6. **Microsoft Excel Proficiency:** Develop and maintain complex Excel spreadsheets and databases for tracking key metrics, financials, and project timelines, generating insightful reports to provide actionable data for decision-making. 7. **Project Coordination:** Assist in the planning, execution, and monitoring of projects, ensuring all deliverables are met in a timely and efficient manner. This includes managing project timelines, documentation, and stakeholder communication. 8. **Communication Liaison:** Serve as a point of contact between executives, clients, and team members, ensuring clear and effective communication. Facilitate information flow and manage inquiries with professionalism. 9. **Time Management:** Lead efforts to streamline administrative processes, identify inefficiencies, and implement solutions to enhance productivity and organization. Qualifications: - Bachelor's degree in Business Administration or related field preferred. - Minimum of 3-5 years of experience in an executive assistant, virtual assistant, or office management role. - Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with advanced Excel skills. - Exceptional organizational, time management, and multitasking abilities. - Excellent written and verbal communication skills. - High level of discretion and confidentiality in handling sensitive information. - Ability to work independently and as part of a team in a virtual environment. - Strong problem-solving skills and proactive attitude.
