Reports To: CEO and VP of Partner Operations Job Summary: We are seeking an Administrative Assistant to provide high-level administrative support to the CEO and VP of Partner Operations, ensuring the efficient operation of our team. This role involves performing a variety of tasks, including managing schedules, handling correspondence, and assisting with various administrative projects. The ideal candidate is organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. This position allows for remote work, offering flexibility to work from home. Key Responsibilities: - Administrative Support: Provide comprehensive administrative support to the CEO and VP of Partner Operations, including managing calendars, scheduling meetings, and coordinating travel arrangements. - Communication: Handle incoming and outgoing correspondence, including emails, phone calls, and mail. Draft and edit documents, reports, and presentations as needed. - Data Management: Maintain and organize files, databases, and records, ensuring information is up-to-date and easily accessible. - Meeting Coordination: Prepare agendas, take meeting minutes, and follow up on action items as required. - Office Management: Manage office supplies inventory and place orders as necessary. Ensure the office environment is organized and well-maintained. - Event Planning: Assist in organizing company events, meetings, and conferences, including logistical support and communication with participants. - Project Assistance: Support special projects and initiatives as assigned, providing research, data analysis, and coordination as needed. - Financial Administration: Process expense reports, invoices, and other financial documents with accuracy and timeliness. - Customer Service: Serve as the first point of contact for visitors and callers, providing excellent customer service and directing inquiries to the appropriate person or department. Qualifications: - Education: High school diploma or equivalent; an associate degree or administrative certification is preferred. - Experience: Minimum of 2 years of experience in an administrative or office support role. - Skills: - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software. - Strong organizational and time management skills with the ability to prioritize tasks effectively. - Excellent written and verbal communication skills. - Attention to detail and problem-solving skills. - Ability to work independently and as part of a team. - Professional demeanor and a positive attitude. - Comfortable working remotely and managing responsibilities in a virtual environment. Work Environment: - This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines. - Remote work is supported, allowing for flexibility in location and working hours. - Occasional travel may be required.
